What Information Should I Provide for an Accurate Custom Award Quote?
Prepare an accurate custom award quote by supplying the design concept, exact quantity, available artwork, personalization needs, brand colors, delivery details, required in-hands date and target budget. Clearly identify any undecided details or constraints so Flawless can assess feasibility and explain which assumptions may affect the final price.
For an accurate custom award quote, provide your design concept, exact quantity, target budget and required in-hands date. Include available logo files, color requirements, personalization details, delivery destinations and any fixed design or shipping constraints. If something is undecided, identify it as pending rather than guessing so the quote can state the assumptions used.
Custom quote preparation checklist
| Input | What to provide | Why it matters |
|---|---|---|
| Design direction | A sketch, reference image, 2D brand mark or 3D concept | Allows the team to review design and production feasibility |
| Quantity | The exact number needed, including any different recognition levels | Custom pricing is calculated project by project based partly on quantity |
| Logo and artwork | Vector EPS or AI files when available | Vector source files provide the strongest basis for accurate artwork review |
| Personalization | Whether awards will have individual names, titles or achievement details; provide completed lists in Excel or CSV | Structured files reduce spelling errors and improve proofing accuracy |
| Color | Pantone or PMS codes when brand matching matters | Exact matching is often possible for custom production but must be reviewed and approved for the project |
| Delivery | Each delivery destination and the quantity going to each location | Freight, customs brokerage and potential import costs are assessed project by project |
| Required date | The firm date the awards must be in hand—not only the event date | The team uses this date to assess production and freight feasibility |
| Budget | A target per-piece or overall project budget | This helps the specialist evaluate suitable designs and production methods |
| Constraints | Any fixed weight, material, shape or other non-negotiable requirement | Constraints can change the recommended design or production approach |
Custom awards generally have a 12-piece minimum, but this is a flexible starting point rather than an absolute requirement. Smaller quantities may be possible depending on the design, production method, budget and overall project economics.
What good artwork means for quoting
Send the original vector logo file when possible, preferably EPS or AI. A vector file gives the artwork team a better source for assessing the logo, placement and potential production methods than a visual description alone.
If color accuracy matters, include the official Pantone or PMS codes instead of relying only on an on-screen example. A specific match is not guaranteed until the project has been reviewed and the customer has approved the final proof.
An initial concept or AI Designer render is not a production proof. Flawless prepares a production-ready digital artwork proof, and production begins only after written approval.
Details that can change the quote
A quote should be reviewed if the design, quantity, required in-hands date, delivery destinations or freight method changes. Color requirements, personalization scope and a switch to a molded or complex 3D design may also affect feasibility or production costs.
Flawless does not charge separate setup, artwork or etching fees. Deep sand etching, logo setup and artwork processing are included in the quoted piece price. If a 3D or molded design requires new tooling, the applicable cost is normally built into the piece price and confirmed in the project quote.
How the deadline affects the information needed
Provide the required in-hands date at the start. Standard custom production is 60–90 days from final artwork approval, including ocean freight and customs. Rush custom production is approximately 4–6 weeks using air freight when the date requires it, the budget allows it and the project is confirmed as feasible.
Ocean freight is typically included in the overall price. Air freight is generally an optional upgrade quoted as a separate line item. Flawless does not charge a separate rush production fee; any added rush-related cost is the additional shipping required.
Lead time starts after final artwork approval, not with the initial quote request. Slow proof approval can therefore affect the delivery schedule.
What to send when a detail is undecided
Send the confirmed information and label each unresolved item as pending. For example, provide the current quantity estimate, available logo file, firm delivery deadline and budget while noting that personalization or color selection is still being finalized.
Do not substitute a guess for a required date or quantity. Flawless can evaluate the available information, explain the assumptions behind the quote and identify what must be confirmed before production.
Frequently asked questions
Can I request a quote without final artwork?
Yes. Send a sketch, reference image, 2D brand mark or 3D concept and identify what is still undecided. Vector EPS or AI artwork should be supplied when available for a more precise feasibility review.
Do I need final recipient names before requesting a quote?
Not necessarily, but state how many awards require personalization and what information will vary. When the list is ready, provide it in Excel or CSV format to improve proofing accuracy.
Should I provide a Pantone color for my logo?
Provide the Pantone or PMS code if color matching matters to your brand. Exact matching is frequently possible for custom production, but availability and suitability must be confirmed for the specific project.
Is 12 pieces an absolute minimum for a custom quote?
No. Custom awards generally have a 12-piece minimum, but it is flexible based on the design, production method, project size, budget and overall economics. Stock and catalog awards are available starting at one piece with all branding methods available regardless of quantity.
Why do you need my in-hands date instead of just the event date?
The in-hands date establishes when the awards must arrive and allows the team to evaluate production, proofing and freight options. Expedited timing and air freight must be checked for each project and cannot be assumed available.
